We believe in fair, transparent transactions. This policy outlines the circumstances under which refunds are available, how they are processed, and what protections exist for both parties.
Before Work Starts
Full refund of any deposit if cancelled before work commences
Mid-Project
Partial refund based on work completed at point of cancellation
After Delivery
No refund once final deliverables are accepted and handed over
1. Our Approach to Refunds
GDB Studio is committed to delivering work of the highest quality. We operate on a clear milestone-based payment structure, which limits risk for both the client and our studio. This policy is designed to be fair, transparent, and straightforward.
All refund requests must be submitted in writing to hello@gdbstudio.tech and will be reviewed within 5 business days.
2. Payment Structure Overview
All projects at GDB Studio are charged using a milestone-based model:
- 50% upfront deposit — secures your project slot and covers initial strategy, planning, and early design/development work
- 50% on delivery — due before final assets, code, or access credentials are transferred
For larger or phased projects, a 3-milestone structure may be agreed upon (40% / 30% / 30%). Each milestone payment is tied to a specific deliverable stage.
3. Refund Eligibility by Stage
Stage 1 — Before Work Commences
If you cancel your project in writing before any discovery, planning, or design work has begun, you are eligible for a full refund of any amount paid. Cancellations at this stage must be received within 48 hours of the deposit payment. After 48 hours, initial planning work may have already begun.
Stage 2 — After Work Has Begun (Pre-First Delivery)
Once work has commenced, the upfront deposit becomes non-refundable. This covers the time, resources, and opportunity cost of commencing your project. If you cancel at this stage, no refund of the deposit will be issued, and GDB Studio will provide all work completed up to that point.
Stage 3 — Mid-Project (Between Milestones)
If you cancel after a milestone has been delivered and approved, the payment for that milestone is non-refundable. Any subsequent milestone payments already made will be refunded proportionally based on work completed. GDB Studio will provide a detailed breakdown upon request.
Stage 4 — After Final Delivery & Acceptance
No refunds are available once the final deliverables have been handed over and accepted (whether formally or by use of the delivered assets). By using or implementing the delivered work, the client confirms acceptance.
4. Quality Disputes
If you believe the delivered work does not meet the agreed scope or quality standard, you must raise this within 14 days of delivery. GDB Studio will:
- Review your concern in good faith within 3 business days
- Offer to remedy any legitimate deficiency at no additional charge within the agreed revision rounds
- Where the work is demonstrably not as agreed and cannot be remedied, offer a partial or full refund at our discretion
Quality disputes are evaluated against the original written scope of work. Subjective preference changes (e.g., "I want a different style") after approval do not constitute a quality dispute.
5. Non-Refundable Situations
Refunds will not be issued in the following circumstances:
- Work has commenced and client changes their mind about the project
- Client fails to provide required content, feedback, or approvals within the agreed timeline, causing delays
- Client approves a milestone and subsequently requests changes to that approved milestone
- Final deliverables have been accepted, accessed, or used in any form
- Third-party costs (domain registrations, stock assets, hosting, plugins) are non-refundable under any circumstances
- Rush fees paid for expedited delivery are non-refundable
- Cancellation is due to the client's failure to pay a subsequent milestone on time
6. GDB Studio Cancellation
In the rare event that GDB Studio must cancel a project (due to unforeseen circumstances, resource constraints, or force majeure), the client will receive:
- A full refund of all payments made for incomplete milestones
- All work completed up to that point, delivered in its current state
- Written notification within a reasonable timeframe
7. Refund Processing
Approved refunds are processed via the original payment method where possible:
- bKash / Nagad — within 3 business days
- Bank transfer (BD or USA) — within 5–7 business days
- Card payment — within 5–10 business days (subject to card issuer timelines)
GDB Studio is not responsible for delays caused by banking institutions or payment processors.
8. Dispute Resolution
We strongly encourage all disputes to be raised directly with us first. The vast majority of concerns can be resolved quickly through open communication. To initiate a dispute:
- Email us at hello@gdbstudio.tech with a clear description of your concern
- Include your project name, invoice reference, and specific details of the issue
- We will respond within 3 business days with a proposed resolution
If a dispute cannot be resolved informally, both parties agree to attempt mediation before pursuing legal action. See our Terms of Service for governing law details.
